Group Coordinators

Group Coordinators,

Group Coordinators play a vital role in the ministry of Wilderness Trek. Without you fees would not be collected, forms would not be completed, and crew leaders would not be selected and properly prepared. Whether you are a youth minister or just a parent who cares, we sincerely appreciate your willingness to serve as the group coordinator for your church or school organization.

If your group is planning to participate this summer, you should have submitted a Group Reservation Form and your Group Reservation Fee ($ 150
for 5-15 participants, $ 200 for 16-30 participants, $ 300 for 31-50 participants, $ 400 for 51-70 participants, $ 500 for 71 or more participants). This one-time fee helps cover our administrative costs. If you bring the at least the minimum number, half of your fee is applied to your group's final balance. This fee holds your spots until Feburary 2, 2009, at which time you should have sent us your $ 100 per person individual deposits.

Once we have received your Group Reservation Form and Fee we will mail you written confirmation and the materials necessary to promote Trek and prepare you group to come to Colorado.

Included in your packet of materials will be copies of the Participant Handbook. Each of these handbooks contain an Individual Registration Form.

Once a participant has given you their $ 100 individual deposits give them a copy of the Participant Handbook. The Individual Registration Form should be completed (signed by their parents and family physician) and turned into you. PLEASE DO NOT MAIL THE INDIVIDUAL REGISTRATION FORMS. Collect them and bring them with you to Colorado.

Group and Individual Reservations for Summer 2009
We are currently accepting Group Reservation Forms and fees for Summer 2009. ALL DATES ARE CURRENTLY AVAILABLE. To book your group's date on-line or by mail please visit Booking-Information. If you need more information, please use our on-line contact form or call us at 800-833-4218.

Important dates to remember for Summer 2009:

February 2, 2009 - $ 100/person deposits due
May 4, 2009 - Final balances due (All fees increase $ 25 after this date)

Book Lodging at Wilderness Expeditions Lodge (Salida, CO)
If you want to reserve lodging at the W.E. Note: Wilderness Expeditions Lodge and Campground are owned separately and are not a part of Wilderness Trek Christian Camp.

Each year group coordinators ask us: What can I do to create more interest about Trek at my church? Here are some suggestions from other group coordinators:

1. Start promoting early. Have a meeting in the fall. Make sure everyone knows how many spots are available and how much it cost. Set deadlines and stick to them. We try to get as many $ 100 deposits as possible by Christmas.

2. Have more than one meeting to generate interest for your Trek. Show the Trek video and hand out brochures and copies of the Participant Handbook. Everytime you have a meeting new people will come.

3. Have people who participated in Trek share their personal experiences.

4. Show pictures (i.e. PowerPoint slides) of your group on Trek from previous years. Place pictures of your group on Trek on the walls of your classroom or youth center. Keep them up all year. Keep some on your youth ministry website all year.

5. Place Trek posters around building. Give the dates for your Trek, plus deposits for when deposits and final payments are due.

6. Have a representative from Trek come speak at your church. (If you are within 300 miles of the DFW area, or a Christian college/unversity where we have staff, Wilderness Trek will pay all expenses.)

REMEMBER: Group coordinators receive one free spot for every 20 trekkers they bring !
